What is a sworn translation?

A sworn translation is the official translation of a document carried out by a translator accredited by the Spanish Ministry of Foreign Affairs, European Union and Cooperation (MAEC). It carries a signature, stamp and certification statement giving it legal validity before administrations, courts and public bodies in Spain.

Who can produce a sworn translation in Spain?

Only sworn translators and interpreters accredited by the MAEC, after passing the official examination or by recognition of qualifications. Each professional has a unique identification number. At Textualia we work exclusively with practising sworn translators.

Which documents can you translate?

Most commonly: birth, marriage and death certificates; academic degrees and transcripts; criminal record certificates; court rulings and judicial orders; commercial contracts and articles of association; ID, passport and NIE; powers of attorney; medical reports; balance sheets and annual accounts. If you have any doubt about your document, just message us before ordering.

Which file formats do you accept?

PDF, JPG, PNG, HEIC, TIFF and DOCX, up to 10 MB per document. If the original is scanned or a photo, we run OCR on it to detect pages and word count automatically.

How long does a sworn translation take?

Standard turnaround is 24 to 48 working hours from payment confirmation. Short documents (1-2 pages) are usually ready the same working day. For larger volumes we adjust the timeline and confirm it with you in advance.

Can I request urgent delivery?

Yes. We offer 24-hour priority with a +30% surcharge on the base price, and 12-hour express with a +100% surcharge. Availability depends on the translator's workload for that language pair.

Does my PDF sworn translation have the same validity as a paper copy?

Yes — legally it is exactly the same sworn translation. Spanish regulations (Resolution of the Ministry of Foreign Affairs of 26 July 2020) establish that a PDF signed electronically by a sworn translator has the same legal effects as the paper version. Most authorities accept it without issue. However, certain procedures or more traditional bodies may still require a hard copy with a manual stamp and signature. It is not a question of validity, but of delivery format. If your procedure requires hard copy, we offer registered shipping to Spain (€12) or Europe (€18). If in doubt, just ask us.

Do I get a hard copy or only a PDF?

Default delivery is the PDF signed electronically, at no extra cost, and it has full legal validity. Optionally you can request a hard copy stamped and signed by hand: €12 to mainland Spain and the Balearics, €18 to the rest of the European Union.

Can I request additional copies later on?

Yes. We keep the original for 5 years and can issue additional copies on request. Additional copies are charged at a reduced rate compared with the original order.

How is the price calculated?

We charge per billable page at €20 + VAT. One page = up to 250 words. If your document has more words than would fit on its physical pages, we charge by equivalent pages based on content. The minimum order is €35. On top of that we apply the urgency and shipping surcharges you select.

Do I need an invoice with tax details?

If you do, you can tick the "I need an invoice with tax details" option during checkout and enter your VAT ID, legal name and address. For companies with a valid EU VAT we apply the VAT exemption under intra-Community rules.

Can I pay with Bizum?

Yes. We accept Bizum, card payments (Visa, Mastercard, Amex), Apple Pay, Google Pay and, depending on the amount, instalments via Klarna. All methods run through the secure Stripe gateway. We never store card details on our servers.

What happens if a document is rejected by an authority?

If a public administration or court rejects our translation on formal grounds (missing stamp, incorrect signature, missing certification), we correct the document at no extra cost or refund the full amount. The choice is yours.

Is my data safe?

Yes. End-to-end SSL encryption, personal data handled under the GDPR, and original documents stored on European infrastructure with restricted access. Only the translator assigned to your order and the review team see the content.

Can I cancel an order?

You can cancel at no charge while the order is still in "pending payment" status. Once payment is confirmed and the order is assigned to a translator, cancellation depends on the work stage. If translation has not yet started, we refund the full amount; if work has already begun, we pro-rate the refund.
